Baxter + Company is a creative studio with a strong focus on a sense of place, time and narrative. We specialise in working with global travel and hospitality clients on projects that span the communications spectrum. 

Baxter + Company is led by Alexander Baxter, a photographer and marketer with significant experience in communications, particularly in hospitality. Alexander works with a small, trusty collection of content creators, designers and other specialists to create bespoke teams for projects large and small.

We work across the communications spectrum. We’re particularly good at brand strategy, brand design, content creation and custom web design. We’re also great at pulling teams together, so if your project requires something that might be a little out of our wheelhouse, we’ll be happy to point you in some good directions.

Vacancy: Personal Assistant to the Director

Following a period of significant growth, the Director is seeking a Personal Assistant to provide consistent and reliable administrative and secretarial support on a part-time basis.

The ideal candidate will come with significant experience in diary management, client communication, and basic book keeping. No two days will be the same – you might be booking in a photoshoot in the morning, and mapping out a branding project pipeline in the afternoon. 

Owing to the client-facing nature of this role, you must be comfortable communicating in a confident and friendly manner with stakeholders. Fluent English is required.

As this role is offered on a freelance basis, we are happy to accept applications from around the world. However, the candidate must be comfortable working in the GMT/BST time zone.

Core Responsibilities

Diary management;

Manage some client communications and manage the general inbox;

Manage the Director’s national and international travel arrangements;

Preparing documents for clients, including client contracts;

Invoicing and some basic book keeping.

What We’re Looking For

At least five years of experience as a personal or executive assistant, ideally both in-house and freelance;

Fluency in spoken English, and excellent written English;

Familiarity with Xero, Google Suite, and Apple systems is essential;

Familiarity with the basics of Adobe InDesign is highly desirable;

Ability to fit working hours according to GMT/BST time zone;

Fantastic organisational skills – you work well under pressure, and wouldn’t think of missing a deadline;

Great interpersonal skills – you’re a friendly face for the studio, even when the pressure is on;

Strong sense of discretion – you understand the confidentiality involved in a role like this.

Hours and compensation

It is anticipated that this role will be for 7-14 hours per week initially, with the possibility of further hours should the need arise. These hours can be worked flexibly.

This position is fully remote, and offered on a freelance basis only.

The successful candidate will be offered a competitive day rate.
